Introducing HVX

Hosted Voice eXchange (HVX), also known as HV.Select, is a brand new fully hosted and managed, IP telephony service.

Running on BT’s highly resilient and secure next-generation network, calls aren’t routed over the public internet, ensuring the highest quality calls for your customers.

The service provides the functionality of a high-end telephone system (PBX), but with lower upfront costs.

Our monthly user licence includes 5,000 minutes of Free UK calls**. Inclusive calls are aggregated for users to share, e.g. two users share 10,000 minutes per month.

Flexible call routing options, and a range of Mobile / Desktop Apps, also make HVX an ideal remote working solution.

The service provides greater flexibility, additional functionality, and more features, whilst reducing costs.

Features

Modular Design

HVX_Modular-iconHVX is made up of individual modules – Users, Hunt Groups and Auto Attendants.

Over time each module can be changed (or rearranged), to suit the needs of the business. When designing a service for a customer, we always start with the number of Users.

When you first take the service you may only require one user. As the business develops users can be added (or removed), at any time.

Similarly additional Hunt Groups and Auto Attendants can be added – or existing ones modified – very easily.

Hunt Groups

HVX_Hunt-Groups-iconHunt Groups (also known as Ring Groups), enable a business to distribute incoming calls across a group of extensions (users).

This enables companies to handle incoming calls by Department, e.g. Sales, Customer Service, Accounts, etc.

Each department would have its own Hunt Group, with its own Phone Number, Extension, Time Schedule (hours of operation) and Voicemail.

Users would be assigned to each Hunt Group. An individual user could belong to all Hunt Groups, or no Hunt Groups, e.g. Jenny could belong to two Hunt Groups – Sales and Customer Service, Mark could belong to Accounts, and (Managing Director) Sarah does not belong to any Hunt Groups.

Call Transfer

HVX_Call-Transfer-iconEasily transfer a call, within the group, or to an external phone number of your choice.

This is typically done by pressing the Transfer button, and dialling the desired party/extension, or pressing the relevant speedial.

The transferred call can either be announced (attended), or unannounced (blind transfer).

Throughout this process the caller will be placed on hold.

Music On Hold

HVX_Music-on-Hold-iconPlay audio / music to callers placed on hold.

Inform or entertain your callers, with music on hold – enhancing your image and your customer’s experience.

Choose from System Defined Music, or Upload a Custom Music file.

Call Recording (FCA approved)

HVX_Call-Recording-icon Enables users to record, monitor and replay their voice calls. Call Recording is fast becoming a requirement for certain businesses, e.g. financial services.

Call recordings are accessed via a dedicated portal, where they can be played and / or downloaded, if required. Call recordings are stored for six months.

Voicemail to Email

HVX_Voicemail-to-Email-iconEach element of the service – Users, Hunt Groups and Auto Attendants – comes with its own Voicemail option.

You select which calls go to Voicemail – All / Busy / Unanswered – and how those messages are handled.

Voicemails can be forwarded to an e-mail address of your choice, or select Phone Message Waiting Indicator option, to review voice messages via your handset.

Simultaneous Ring

HVX_Simultaneous-Ring-icon Ring multiple phones simultaneously when calls are received, e.g. add your mobile phone number to the list, and when someone calls your desk phone, your mobile will ring too! Great for business people who are often out of the office.

Please note when diverting to phone number(s) outside of Group, normal call charges apply.

HD Call Quality

HVX_HD-Call-Quality-icon Experience better quality calls, and reduced background noise, with HD (High Definition) Voice calls.

For best results, choose an IP Phone offering HD audio quality, e.g. Polycom VVX 411 VoIP Phone.

What is HVX?

Hosted Voice eXchange (HVX), also known as HV.Select, is a brand new fully hosted and managed, IP telephony service.

The service provides the functionality of a high-end telephone system (PBX), but with lower upfront costs.

What do I need to use HVX?

You will require a reliable Internet connection (ADSL2+ / Fibre FTTC / Mobile 4G), and it may be necessary to upgrade your router.

Typically customers will also require at least one IP Phone, e.g. Polycom VVX 411 VoIP Phone, or a Mobile / Desktop App, e.g. UC Office.

Do I have to use your Broadband?

No. Although, it may make diagnosing potential faults easier, if we supply both services.

How long is my contract with you?

You have the freedom to cancel service (or change provider*), at any time without penalty (e.g. early termination charges).

Subject to our Terms of Business, we will supply service for a minimum of 12 (Twelve) months, from the date the Service is first delivered to you.

*Subject to necessary porting arrangements being in place.

 

How long does it take to set up?

During the week, orders normally take 24-48 hours to complete.

Please note this excludes any Number Porting requirements.

Can I keep my old number(s)?

Number Portability generally allows customers to keep their phone number(s), when they change Communications Provider. However, it may not be possible to port your number(s).

The cost of porting a number, and the timescales involved, depend on the type of number (e.g. Single Line, ISDN DDI Number, etc.), and whether the number has previously been ported (this is known as Subsequent Porting).

How reliable is your service?

Supported by a resilient network, you are safe in the knowledge that your customers will benefit from 99.9% uptime.

What happens if my internet stops working?

Disaster Recovery (or ‘Failover’) options are available.

In the event your line and / or broadband develop a fault we can re-route your inbound calls to another number of your choice, e.g. another landline or mobile phone.

Please note whilst VoIP services allow calls to the emergency services numbers 999 and 112, the ability to make calls to the emergency services using VoIP CANNOT be guaranteed.

If there is a power cut, or the Internet connection either fails or suffers degradation in call quality, in case of emergency customers will need to dial 999 or 112 from a traditional landline or mobile.

How does the Trial work?

Our Trial offers businesses 10 days to evaluate the HVX service. After the trial period ends we will arrange to collect any equipment, or you can request to extend the trial.

The best way to experience HVX is by downloading our range of Desktop and/or Mobile Apps.

You’ll receive instructions on how to download the Apps.

To get things up and running, we’ll ask you some simple questions…

1) Do you intend purchasing VoIP Phones, or will you be using our Desktop and/or Mobile Apps?
2) Do you have access to make changes to your Router? (We’ll explain why this is important)
3) Do you have a ‘Skype Headset’, or similar? (You’ll need a microphone to use our Desktop App)

You’ll be set up with a couple of users to try out…

We’ll ask for the following information:

  • Your company details
  • Your contact details
  • The range of phone numbers you would like to use, e.g. 0203 London.

These details will enable us to create your HVX account.

Lastly, we’ll need the user details:

  • Title
  • First name
  • Last name
  • Email address

That’s everything we’ll need to start your trial.

We’ll go away and create your account. This normally takes 1-2 hours.

During this time users will receive an Order Confirmation by Email.

Please ask colleagues to keep these details safe. We will confirm when the service is ready to use.

We’ll contact you again when your trial is coming to end. But throughout the trial we’ll be on hand to answer any questions you may have.

Terms of Trial

Limited availability and subject to status. Throughout the trial our Terms of Business shall apply.

Our trial offers businesses 10 days to evaluate the HVX service. After the trial period ends we will arrange to collect any equipment, or you can request to extend the trial.

Please note: Any Equipment and / or Telephone Numbers provided remain the property of 4tel Communications Limited at all times.

Loss or Damage: We reserve the right to recover the cost of any lost or damaged equipment up to a maximum £125.00 + VAT per handset.

Making Calls: UK calls only. Fair Usage Policy applies. Calls to 084, 087, 09 and 118 numbers are not permitted.

In an Emergency: Please note whilst VoIP services like HVX allow calls to the emergency services numbers 999 and 112, the ability to make calls to the emergency services using VoIP CANNOT be guaranteed.
